Thesis Defense Presentation: 10 and 30 Minutes

Structure your defense talk to orient the committee, justify your work, show your results, and bound your claims—then rehearse to stay within your time slot.

What the talk has to accomplish—and what it must not

Your defense talk is not a re-reading of your thesis. It is a structural argument that answers four questions in this order:

  1. Orient the listener. "Here's the field, here's where it sits in the wider conversation, here's what makes it matter."
  2. Justify the gap. "Everyone knows X. My work finds Y, which was unknown before. That gap matters because Z."
  3. Show how you found it. "I built this, or I ran this study, or I read the archive this way. This is why my method was sound."
  4. Bound the claim. "Here's what I can say with confidence. Here are the limits. Here's what comes next."

What the talk must not do: replay your literature review in full, read the thesis aloud, jam in every figure you made, or pretend your work has no limits. The committee has already read your thesis; they are in the room to watch you defend it under pressure, to see if you understand the stakes, and to ask hard questions. The better you use your time, the easier the Q&A will be.

Degree requirements differ by institution

Your graduate school's handbook will specify the exact talk length, slide format, Q&A structure, and passing criteria. Confirm your defense format with your graduate coordinator before you begin slide design. This guide gives you a process, not a universal standard.

The 10-minute plan

A 10-minute defense is tight. Every slide must earn its place. Below is a time budget and slide plan the author uses for a 10-minute slot:

You are allocating, not discovering, these time slots. The 2:00 you give to your first result is not the "correct" amount; it is the amount you choose because your talk has a total budget of 10:00. If you find after one rehearsal that your problem statement needs more time to land, trade 30 seconds from results to problem—and mark the new cut.

The 30-minute plan

A 30-minute defense allows you to show more of your thinking. The spine is the same as the 10-minute version, but with three new blocks inserted: a full literature positioning, a methods section, and an implications close. Here is the author's time budget for a 30-minute slot:

Total: 25:20 of slides + 4:40 buffer = 30:00

The 4:40 buffer is your insurance if a figure takes longer to explain or if you stumble. Budget it at the beginning, not after you finish.

Notice that the 30-minute defense spends 9 minutes on framing (problem + literature + gap) versus 3 minutes in the 10-minute version. The results section is also deeper (8:30 versus 3:30). Time is a design choice, not a natural law.

What to cut first when you overrun

In rehearsal, you will find that your slides take longer than you planned. Do not panic. Cut in this order, in one-pass from top to bottom. Do not try to trim every slide; that spreads the damage and makes your talk inconsistent.

  1. Literature detail and debate. If your literature slide is a taxonomy of four schools, collapse it to two. If it has a table, replace it with one sentence: "In their 2019 review, Smith and Chen identified three approaches; our work sits in the third."
  2. Method minutiae. Cut the sample-size justification, the exclusion criteria paragraph, and the pilot-study slide. You can answer these in Q&A. Say "We recruited 40 participants" and move on; do not say "We recruited 40 participants, and we chose 40 because prior work showed that 35 is the minimum for power..."
  3. Secondary results. If you have three results, keep the two that best support your main claim. The third becomes a backup slide.
  4. Background you can answer in Q&A. "How did you choose your institutions?" and "Why did you use that scale?" are faster to answer on stage than to explain in a slide. Skip the 1-minute slide; field the question instead.

What you must never cut: the problem statement (people need to know why you worked on this), the gap (people need to know what was unknown), your main results (that is the point), and the implications (that is why the committee should pass you).

Showing methods and results visually

Every slide with a method or a result should carry one idea in one visual, and the visual should be annotated so the committee knows what to look at.

  • No table dumps. If you have a 30×8 data table, do not paste it into a slide and hope the committee squints at it. Make a figure: a bar chart, a line plot, or a heatmap. Then state the finding in the slide title as a complete sentence: "Anxiety scores declined by 25% after intervention" (not "Results").
  • Annotate the figure. Draw arrows, boxes, or callouts pointing to the part of the graph that matters. Write: "99th percentile here" or "Breakpoint at week 6." The committee should not have to hunt for the finding in your chart.
  • One figure per slide, one finding per figure. If you have two findings that are equally important, give them two slides. If you try to squeeze two graphs onto one slide, you have 2 minutes to explain both and the audience is lost.
  • State the takeaway in the slide title. Not "Figure 1: Latency by condition" but "Stress increases latency by 40% (p < .001)." The committee reads the title and understands the result before you speak.
  • Explain what the axes mean. Spend 10 seconds on orientation: "This is time in weeks on the x-axis, stress score on the y. The blue line is the control group; the red line is the treatment." Then spend the remaining time on the finding.

Backup-slides appendix

Build 8 to 15 backup slides after your main talk. Number them so you can jump to them from your slide deck if the committee asks. Candidates for backup slides:

  • Secondary results (the third, fourth findings)
  • Robustness checks (sensitivity analyses, alternative models)
  • Full methods details (recruitment flow chart, detailed measures)
  • Literature deep-dives (if someone asks about a competing theory)
  • Raw data samples (anonymized excerpts, sample forms, screenshots)
  • Timeline (milestones, year-by-year progress)
  • Budget or resources (if relevant to your field)
  • Acknowledgments (if your institution requires it)

Label them "Backup 1: Secondary Result—Confidence," "Backup 2: Sensitivity Analysis," and so on. Number your main slides 1–9 (or however many you have), and number backups B1–B15. In your slide-deck notes, jot the committee members' names and their known interests; if someone asks about a topic you prepared a backup for, you can say "I have a slide on that" and jump to it without hunting.

Rehearsal protocol

One run-through is a dress rehearsal, not a preparation. Run through your talk at least three times before your defense, each with a different goal:

  1. First run: alone, timed. Speak the entire talk out loud (not in your head). Use a timer or record yourself. This tells you the real length; your reading speed will surprise you. Make notes: "Problem section ran 2:15, need to cut 1:15" or "Result 1 unclear on slide 4, reword."
  2. Second run: to a non-expert. Ask a friend or a colleague outside your field to listen without interrupting. Give them a printed one-liner about your topic before you start, but no more context. After you finish, ask: "In one sentence, what is my main finding?" Their answer tells you if your talk landed. If they say "I'm not sure," your conclusion is unclear.
  3. Third run: recorded. Set your phone or laptop to record audio and/or video. Play it back afterward. You will notice filler words ("um," "like," "so"), rushed sections, awkward pauses, and places where you stare at a slide instead of at the camera. This is hard to watch but invaluable.

After each run, cut ruthlessly. Do not add. Mark the specific slides or phrases you will change, make the edit, and run again. If you have time, do a fourth run before the defense.

Rehearse the transition into Q&A. End with: "Thank you. I'm happy to take questions." Then pause for 2 full seconds (longer than feels natural). This tells the committee that the talk is over and that you are ready to listen. Practice this pause so it is not awkward silence; it is intentional quiet.

Slide design floor

Your slides are a support, not a distraction. The committee is looking at you and listening to you; the slides should reinforce without demanding attention.

  • Minimum readable font size: 24 point. The back row of a thesis defense room is usually 15–20 feet away. At 24pt sans-serif from that distance, text is still legible (this is roughly the size of a paperback book's body text). If your slide has annotations or axis labels, 18pt is the floor, but smaller text should be used sparingly. Test your slides in the actual defense room or ask: "If you sat in the last row, could you read the axis label?" If the answer is no, it is too small.
  • Contrast: aim for 7:1 (text on background). According to WCAG 2.1 Level AA, body text should have a contrast ratio of at least 4.5:1. Aim higher: 7:1 is the ratio this site uses for body text. Black text on a white background scores 21:1; white text on a dark-navy background scores about 9:1. If you use a light gray text on a slightly lighter gray background, you have failed.
  • Color pairs for colorblind safety. Do not use red and green alone to distinguish categories. If you must use color to separate groups, use red and blue, or red and yellow. Test your figures with a tool like color-blindness-simulator.com (view your slides in deuteranopia, protanopia, and tritanopia mode).
  • No unreadable pasted tables. If your source material is a 40×20 spreadsheet, you cannot paste it into a slide and shrink it to fit. Your audience will not squint; they will ignore it. Either make a figure (chart or heatmap) or extract three key rows and present them as a small, simple table.
  • No paragraph slides. A slide that is 6 sentences of body text is a handout, not a slide. If you find yourself reading a paragraph aloud while the audience reads it silently, one of you is wasting time. Use slides for: titles (one sentence), key phrases (three bullet points max), figures (charts, diagrams, annotated images), or quotes (large, with attribution).
  • Accessible color palette: Use the Graduate module's colors if you are making slides in the CampusBreeze template. Otherwise, pair dark text with a light background, or light text with a dark background. Avoid: navy on black, light gray on white, or red/green as your only distinction.

Logistics and hardship stops

Before your defense, handle five concrete details:

  1. Check the room. Ask your graduate coordinator for the room layout: How many seats? Which wall is the screen? How far is the back row? Is there a laptop at the podium, or do you bring your own? Is the projector on the ceiling or the wall (does it wash out in daylight)? Arrive 15 minutes early and stand in the back row to see if your slides are legible.
  2. Test your adapter. If you are using a Mac with an HDMI projector, test your USB-C to HDMI dongle the night before. Do not assume it works. Bring a backup. If the room has an HDMI input, bring a USB-C to HDMI cable. If it has only VGA (an old-style 15-pin connector), you need a USB-C to VGA adapter, not just HDMI.
  3. Save a PDF fallback. Export your slides as a PDF. If your slide-deck app crashes 5 minutes before your defense, you can open the PDF in a web browser and present from that. It is not ideal (no speaker notes, animations broken), but it works. Test this fallback before the day of defense.
  4. Know what to do about a hard stop. If your institution has a firm 10-minute or 30-minute cutoff—meaning the proctor will stand up and say "time"—you need to know where you will be at 9:50 or 29:50. In rehearsal, set a timer and see what slide you are on at the 80% mark. If you have not reached your results by then, you are over-framing and need to cut. Plan to end your main talk 2 minutes before the hard stop so you can finish a sentence and hand off to Q&A gracefully.
  5. Print a one-page cheat sheet. Before you step up to the podium, print your slide titles and your speaker notes (the key bullet points you want to say). If your laptop dies, you have your talking points on paper. (Do not read from this paper during the defense; it is insurance.)
Why a PDF fallback matters

If you have ever had a slide-deck app freeze or an adapter not work, you know the panic. A PDF file is universal: it opens in any browser, any PDF reader, on any operating system. Export your deck to PDF and email it to yourself the night before. One backup is hope; two backups are a plan.

Frequently asked questions

How many slides should I have per minute of talk time?
There is no universal rule. The folk wisdom is the "10/20/30 rule" popularized by Guy Kawasaki: 10 slides, 20 minutes, 30pt font. That is a useful heuristic for fast-paced venture pitches, not for academic defenses. In a defense, you might spend 2 minutes on a single annotated figure, or you might use 3 slides in 1 minute (rapid-fire problem examples). The author of this guide uses roughly 0.8 to 1.2 slides per minute for a defense talk; some sections are image-heavy (many slides, little text), others are talk-heavy (one slide, much speaking). Build your deck around your ideas, not around a slide-per-minute rule.
Should I read my slides aloud, or speak around them?
Speak around them. If your slide says "Introduction," you do not need to say "This is the introduction." Your slides should contain the structure and the key figures; you provide the narrative, the rationale, and the judgment. Imagine removing the projector: your talk should still make sense, because you are the expert in the room, not the screen.
What should I do if I blank out during the talk?
Pause. Breathe. Look at your speaker notes (if you printed them) or at your slide. Do not apologize. The audience will not know you lost your train of thought unless you tell them. If you truly cannot remember what you were saying, say "Let me take a step back" and read the slide title aloud to reorient yourself. Most defenses include a few stumbles; the committee cares about your science, not your oratory.
How do I handle a hard question during the talk itself (not in Q&A)?
If a committee member interrupts with a question, pause your talk. Do not panic. Answer the question briefly (one to two sentences). If the question is complex or you are unsure of the answer, say: "That's a great point. I want to make sure I answer it fairly, so can I come back to it after I show the results? This finding might address part of your concern." This keeps your talk moving and shows you are listening.
Should my backup slides use the same template as my main talk?
Yes. Backup slides should be visually consistent with your main deck. The only difference is that they are numbered B1, B2, etc., and you do not present them unless asked. Keep them in the same file after a page break or a slide divider so you can jump to them quickly.
